  1. Registrants must make full payment by 23:59hrs HK time (GMT +8) on 30 September 2025 to enjoy the early bird rate. Failure to pay by the due date will result in a change to the standard registration category and the corresponding standard rate will apply.
  2. Early Career Researchers refers to individuals who are graduate students, Residents, Post Docs, Fellows and academics within eight years of award of a PhD.
  • Registration includes access to all conference events listed on the programme unless otherwise specified (including tea breaks, drinks reception on the evening of 15 December 2025 and conference dinner featuring Chinese cuisine on 16 December 2025). The registration fee only covers the fees for the attendance of the conference itself. Successful applicants shall be responsible for making the necessary travel and accommodation arrangements at their own cost.
  • Registration will only be confirmed and processed once full payment of the registration fee has been received - a confirmation email will be sent. The Foundation reserves the right to request registrants to present proof of registration at the Conference.
  • Payment of the registration fee can be made by credit card (Visa, Mastercard, American Express); digital wallets (Apple Pay, Google Pay and Alipay). Official receipts will be issued by email within one week after successful payment.
  • Applicants are recommended to reserve the Conference Hotel, Hyatt Regency Hong Kong, Sha Tin in accordance with the instructions below.
  • The organising committee reserves the right to change the registration policy without prior notice.
  • In case of adverse weather conditions, please refer to the “Arrangements under inclement weather conditions” and pay attention to the on-site announcement of the Foundation.
  • Personal data submitted for the registration will be collected and used by the Foundation (whether by itself or through any conference partner or third party service provider) in accordance with its Privacy Policy Statement, and may be provided to conference partners and third party service providers appointed for the purposes of the conference.
Accommodation

The Conference has reserved a limited number of rooms for participants at the Conference Hotel, Hyatt Regency Hong Kong, Sha Tin which is located adjacent to the University Station of the Hong Kong MTR.

You will be required to confirm your reservation and provide a credit card guarantee directly to the hotel to complete your hotel reservation. Any cancellation of your hotel booking will be subject to the cancellation policy of the Hyatt Regency Hong Kong, Sha Tin.

Bursary opportunities

The Foundation will offer a total of 10 bursaries of up to HK$5,000 per individual, plus free registration, to encourage attendance of Early Career Researchers. To be eligible to apply for a bursary, individuals must have completed an Early Career Researcher / Student registration. Bursary applications must be made by completing an application form in the Researcher’s Portal of the Foundation.

All applications will be reviewed by a panel and the awards will be made based on the potential for the applicant to make a significant contribution to the field in their further career (determined by their experience and statement of what they hope to gain from the conference). Applicants will be notified by email in September 2025 if they have been successful. The decision of the Foundation shall be final.

Applications must include:

  • A short CV that includes details of past and current research interests
  • A brief statement of what they hope to gain from the conference
  • A letter of support from the applicant’s supervisor

Successful applicants will receive the bursary within one month after the close of the conference, subject to participation in all relevant conference activities as required by the Foundation.

Cancellation policy

A refund will be made if a registration is cancelled in writing by email (mailto: hkjcewrfconference2025@eventist.com) by 23:59 HK time on 31 October 2025 (GMT +8). All refunds are subject to processing fees and bank charges (which may vary among banks), which will be deducted from the refund amount. Amount of refund is estimated at around 70% of the early bird registration fee and 80% of the standard registration fee. Refunds due will be paid within one month after the close of the conference.

No refund will be possible for any cancellation on or after 1 November 2025.

Please note that cancelling your registration does not imply cancellation of your hotel bookings. You will be responsible for cancelling your own hotel reservation.

Disclaimers
  • The conference organisers reserve the right to alter the conference programme and arrangements without notice or compensation. The decision of the conference organisers shall be final.
  • All participants are advised to make their own arrangements for personal and travel insurance and visas in advance if needed.
  • The conference organisers are not responsible for any loss and/or damage to personal belongings or any injury or death sustained during the conference period. Participants participate in the activities during the conference at their own risk, and shall comply with all reasonable instructions from the conference organisers at all times.
  • The conference organisers only act as the event host and organisers of the conference. All arrangements for the conference including but not limited to those in travel, transport, accommodation and services are provided by the relevant third party service providers, and the conference organisers shall not be responsible in any respect.
  • The conference organisers are not able to entertain requests concerning assistance for travel visa applications.
